Introduction

This is the privacy statement of HG UKI Ltd., hereinafter referred to as HG. This privacy statement applies to all our processing of personal data of our clients, potential clients, and users of our website.

In this privacy statement we explain which of your data we process. We also tell you why and for how long we process your data and your rights regarding every aspect of processing. We also state the parties we cooperate with.

We believe it is important that you are clear on how we deal with your data. We will protect your personal data properly and we comply with the law.

This privacy statement may be amended, for example when we change or expand the service provision or as a result of legislative changes. The most current privacy statement is available on our website. This privacy statement was most recently amended on 10 September 2021.

HG UKI Ltd. is the data controller in relation to processing your data. For example, HG determines which of your data are processed, how they are processed, for which purpose and for how long.

  1. Which information do we gather and why?

Newsletter 
To send our newsletter, we ask you for your first name, surname and email address. Your first name and surname are collected to address the newsletter personally to you. Your email address is used to send the newsletter. The newsletter is sent on the basis of your consent. The data is used until you unsubscribe from the newsletter. It is easy to unsubscribe by clicking on the unsubscribe link in the newsletter.

Contact with our Consumer Service Department
If you have a question or complaint about our products, you can contact our Consumer Service Department. You can call the Consumer Service Department or use the contact form on the website.

If you use the contact form to contact us, we record your first name, surname, email address, country and your message. This information is used to respond personally to your contact request. Your telephone number and address details are optional fields. We process those data under the legal processing ground of ‘justifiable interest’. The collected data are kept for one year, so we can follow up your messages.

Applications
On the website https://hginternational.recruitee.com you will find the privacy statement for job applications. 

Finding a point of sale near you
On the stockists page you can enter your town, postcode or address to find a shop near you. These data are not kept.

Questions and answers about a product
Some HG websites include ‘questions and answers’ for a product. If there are no questions and answers, you can submit a question. We ask you to provide your name and email address, so we can answer your question.

  1. Companies that process your data

HG engages other companies to provide its services. We conclude contracts with these companies that contain agreements about security, confidentiality, and your rights. These companies have to comply with legislation.

In some situations, your data may be passed on to recipients outside the European Economic Area (EEA). The principal rule is that this is only permitted if a country provides a suitable level of protection. If there is no suitable level of protection in a country outside the EEA, we ensure that your data is protected in the best possible way. An example is the use of model contracts that have been approved by the European Commission.

HG works together with the following parties:

  • Logistics partners: for example, postal companies, courier services, and parties that help us to send emails.
  • Analysis service providers: to analyse the use of our websites. We use software, such as Google Analytics.
  • IT service providers: for the maintenance and management of our systems and the storage of your data.
  • Supervisory authorities, fiscal authorities and investigation services, such as the police and the public prosecution service. We only provide the necessary data to those parties when there is a statutory obligation.

HG takes a serious view of the security of your data. Therefore, HG has taken measures to secure your data properly. HG has taken account of the risks of loss or unauthorised use of your data.

  1. Retention periods

In general we retain your data no longer than required for the purpose for which we collected your data. We will also remove or modify your data so they no longer refer to you; we call this pseudonymising. We will pseudonymise data when we still want to use them for statistical purposes.

Below we give some examples of minimum statutory retention periods:

  • Compulsory retention of bookkeeping and administration: 7 years
  • Tax documentation and reports concerning deliveries of goods and other relevant data: 7 years
  • Complaints: 5 years
  • Invoices: 7 years
  • Orders: 7 years

Right to information:
We are obliged to inform you of our identity, which of your data we process, how long for, for which purposes, on the basis of which legal ground, and to whom we provide your data. All this information is included in this privacy statement.

Right to access:
You have a right to access your data. You have the right to ask whether HG processes your data and, if yes, which data, for which purpose, to which parties your data is provided, how long your data is retained, and you have a right to know where your data comes from if you did not provide the data yourself.

Right of rectification:
You can ask HG to amend your data if it is not correct.

Right to erasure of data:
We are obliged to erase your data at your request. For example in the following situations:

  • You withdraw your consent and HG does not have other legal grounds for processing;
  • You object to processing and there are no reasons why processing should be continued;
  • You object to processing your data for direct marketing;
  • Your data has to be removed to comply with statutory obligations.

If we shared your data with other parties, we shall ask those other parties to erase your data.

In some situations we cannot or may not erase your data. Sometimes the data is required to:

  • Comply with legislation;
  • To instigate, exercise or substantiate claims, for example on the basis of your guarantee;
  • Anti-fraud investigations.

Right to restriction of processing:
You have the right to have the processing of your data restricted in the following situations:

  • You do not agree with the accuracy of your data;
  • Processing is not lawful and you do not want your data to be removed. Instead you prefer the use of your data to be restricted;
  • HG no longer needs your data, but you need it to instigate, exercise or substantiate a claim.

If processing is restricted, your data is only processed with your consent, in connection with a claim or to protect the rights of others.

Withdraw consent:
If your data is used on the basis of your consent, you can withdraw that consent at any time. To unsubscribe from the newsletter, you can use the unsubscribe link in any newsletter.

Right to objection:
You have the right to object to processing your data. You may do this if there are reasons to object in your specific situation. This applies insofar as HG bases itself on justifiable interest and for profiling based thereon. We will stop processing your data following your objection. Only when HG’s interests outweigh your interests, for example when exercising a claim, we will not stop processing your data.

Cookies:
If you do not want websites to place cookies on your computer, you can modify the settings of your browser so that you receive a warning before cookies are placed. You can also amend the settings of your browser, so that you refuse all cookies or only cookies from third parties. It is also possible to remove placed cookies. Remember that if you do not want to have cookies, we can no longer guarantee that our website works properly in every respect.
